As soon as your store starts generating consistent sales, you might want to look into hiring a virtual assistant to help you manage your store. This can be especially helpful if you’re drop shipping.

Fulfilling those orders every day on Aliexpress is exciting for about a week and after that it gets boring, menial and mind-numbing.

So it’s definitively something you should outsource.

I usually look for virtual assistants on Upwork.com. You can create a job posting for free and describe the type of job you want to get done. Then specify what you’re going to pay and who you’re looking for. Personally, I like virtual assistants from the Philippines and I pay $3 per hour. People from the Philippines are awesome to work with.

Now, within Shopify there’s an option in the settings where you can add “Staff Accounts”. This is where you can invite your new virtual assistant. All you have to do is enter the first name, last name and the email address and Shopify will send your virtual assistant an invite.

Your virtual assistant will open the email and use the link in the email to register for your Shopify backend. That way your virtual assistant will be able to login with his or her own login credentials anytime.

Staff accounts have restricted access to your Shopify backend. For example, they can’t view your credit card, change your plan or install any new apps without your approval. But they can view orders, add products, change settings and do all sorts of other stuff in there.

So depending on the level of trust you have built with your virtual assistant, it might make sense to restrict the Shopify access.

If that’s the case, you can comfortably do that in the settings.

When you set up a staff account, there’s a checkbox where you can restrict access. And if you check that box, a whole subset of checkboxes opens where you can give very specific access to certain parts of your store and restrict other parts. For example, you could give access only to your Orders and to your Apps. This might be a good setup if you’re working with Oberlo to fulfil your orders.

Personally, I usually give full access to my virtual assistants because I usually work with people I trust and I know my VA isn’t going to mess with anything. He’s going to do exactly what I instruct him to do.

You can add up to two staff accounts to your Shopify account if you’re in the basic plan. And if you need more staff accounts you can upgrade to the more expensive plan and that’ll do the trick.
